Software Asset Management Checklist for Bangladeshi Enterprises
Software asset management sounds like a large programme. In practice, four repeatable habits give you most of the benefit and remove nearly all of the audit risk.
1. Discover what is actually installed
Run an inventory across every device, including remote laptops and servers. Publishers audit against installations, not intentions, so the installed list is the list that matters.
2. Hold the entitlement evidence
For each title, keep the invoice, VAT challan, licence confirmation and admin-console record together. Entitlement without evidence is indistinguishable from unlicensed use during an audit.
3. Reconcile installations against entitlements
Compare the two lists quarterly. Over-deployment is a liability to remediate immediately; under-utilisation is money to reclaim at the next renewal.
- Installed but not entitled — remediate now
- Entitled but unused — reclaim at renewal
- Entitled to the wrong tier — right-size the plan
4. Own the renewal calendar
One calendar, one owner, sixty-day lead time. Emergency renewals are where companies pay list price and skip the utilisation review that would have paid for itself.
Frequently asked questions
- How often should we reconcile licences?
- Quarterly is enough for most enterprises; monthly is worth it in fast-growing teams.
- What triggers a publisher audit?
- Rapid growth, an expired agreement, whistleblower reports, and inconsistent purchase histories are common triggers.
- Can MacX run this for us?
- Yes — MacX maintains the register, reconciles it against entitlements and manages renewals for its managed clients.
